AI Enablement & Knowledge Management Specialist

Barcelona, Barcelona, Spain
Full Time
Smadex S.L.U
Experienced

Smadex is a leading mobile and CTV advertising technology company founded in Barcelona and acquired by Entravision (NYSE: EVC) in 2018. We deliver performance marketing campaigns for apps, games, and brands through our proprietary DSP, powered by advanced machine learning and real-time optimization.

As Smadex continues to scale, we are building AI agents, as well as exploring existing AI tools to automate processes, streamline access to knowledge, and accelerate decision-making across teams. To power these efforts, we are hiring our first AI Enablement & Knowledge Management Specialist - a cross-functional builder who will structure Smadex’s internal knowledge ecosystem and actively shape how it is leveraged by AI systems.

This is a foundational role at the intersection of knowledge operations, internal automation, and AI product enablement. You will not only organize and maintain knowledge - you’ll become a key contributor to how our AI agents function, learn, and evolve.

Key Responsibilities:

1. Knowledge Management (Structure & Governance)

  • Design and implement a centralized, scalable documentation framework optimized for both human and machine consumption.
  • Build and maintain internal knowledge repositories (Notion, Confluence, Google Drive, etc.), with proper metadata, tagging, access management, and version control.
  • Define standards for structured documentation, semantic consistency, and authoring workflows across teams.
  • Proactively identify and close knowledge gaps and coordinate with subject matter experts to ensure high-quality, current content.

2. AI Collaboration & Enablement

  • Collaborate with the tech and product teams to build, train, and evolve AI agents that retrieve, summarize, and act on Smadex knowledge.
  • Co-own the lifecycle of internal agents - contributing to prompt design, system evaluation, testing, and quality improvement loops.
  • Structure documentation specifically to support LLM features such as retrieval-augmented generation (RAG), search relevance, and semantic parsing.
  • Monitor AI agent usage and performance, analyze behavior, and continuously improve inputs and outputs based on real feedback.
  • Coordinate the pilot for emerging internal tools or capabilities (e.g., AI-powered assistants, semantic search, auto-tagging, summarization).
  • Lead small-scale test-and-learn cycles to evaluate the business value of internal AI applications.

3. Process Mapping, Knowledge Insights & Internal Intelligence

  • Map cross-functional internal workflows
  • Identify high-impact opportunities for automation or AI augmentation - partnering with product/tech to design intelligent solutions.
  • Work with business stakeholders to translate tribal knowledge into repeatable, AI-compatible logic.
  • Track internal documentation usage patterns, user queries to AI agents, and feedback signals to identify what’s working and what’s not.
  • Deliver actionable insights to leadership based on how knowledge is consumed, accessed, and used across teams.
  • Work with the Ops Strategy team as an internal advocate for knowledge-driven performance and operational efficiency.
What We Are looking For:
  • 3+ years of experience in knowledge management, documentation operations, technical program management, project management or similar.
  • Strong project management skills with the ability to meet deadlines and manage multiple projects.
  • Proven experience designing and managing structured documentation systems using tools like Notion, Confluence, or similar.
  • Familiarity with AI-powered tools, LLM workflows, or semantic search systems.
  • Strong understanding of how LLMs interact with structured data, versioning, and knowledge repositories.
  • Excellent communication skills in English, with the ability to collaborate across technical and business teams.
  • Attention to detail and a systems-thinking mindset - able to turn complexity into scalable structure.
  • Bonus: Experience with prompt design, structured formats (Markdown, YAML, JSON), or vector databases (Pinecone, Weaviate, etc.).
  • Bonus: Exposure to internal knowledge bots, co-pilots, or AI agent tooling.

Why this Role Matters:
This is not a passive documentation role - it’s a strategic enabler of Smadex’s internal AI usage.

You’ll help define how knowledge is captured, evolve how it’s consumed, and shape how intelligent systems use it to drive operational excellence. Your work will improve speed, consistency, and scale across the organization - and help lay the groundwork for AI-enabled growth in 2025 and beyond.

What is in it for you:

  • Integrate into a highly motivated and young team.
  • Great compensation package.
  • Top location at the heart of Barcelona in a penthouse office with a rooftop terrace, barbeque, and a fully stocked fridge.
  • Work from home: 2 days/week, flexible hours.

  • Monthly gym allowance to use in up to 25 DIR gyms around the city.

Completing this form is voluntary, and we hope that you will choose to do so. Your answer is confidential. No one who makes hiring decisions will see it. Your decision to complete the form and your answer will not harm you in any way. If you want to learn more about the law or this form, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.
